A good information management system is not only a powerful way to secure control of the business. It also has a tremendous impact on the bottom line. Here are a few of the arguments that leaders should listen to.

In a complex business environment where the pace is constantly increasing, the question of control and having everything in good order becomes a priority. A well customised information management system overcomes many of the challenges facing management and employees.

IDC carried out a major international study on behalf of Adobe. The study showed that integrated document management would mean significant improvements in terms of profits, costs and risk. One of the difficulties was the lack of overview of information, which made it more difficult to produce well-founded forecasts and budgets. Another difficulty was the considerable uncertainty as to whether copies of signed documents existed and where they were located. The study also showed that employees spent almost 40% of their time on administration instead of doing their actual work.

 

Smarter employees

A good information management system accumulates the knowledge and information existing in the organisation and makes it available to the relevant people. This enables employees to make well-founded decisions in accordance with the company's policies. The system also leads to the implementation of quality-assured working methods and structured, continuous improvement. This is something that the management often considers to be important.

 

More efficient work

Efficiency is also high priority. Far too often, the company's information management consists of folders on a network drive. This is rarely efficient. Employees create their own folders and "information silos" are soon built up in which information become difficult to find. That risk is eliminated in a good information management system. The employees only need worry about what they are looking for, never where it is stored.

 

Better governance

The contents of each document are quality-assured by automatic version management and full traceability. Management gains the control and the overview it needs through dash-boards and reports, notifications of important events and a strong search function enabling them to quickly find the relevant information.
